Advice to Event Coordinators

EVENT MANAGEMENT CHECKLIST

Before submitting your event, please check that you have addressed the following matters. If you have any queries, please contact the Events Co-ordinator via email: cfargher@unimelb.edu.au
  1. If your event involves VIPs (eg. Government representatives, Diplomats, high profile academics etc), please ensure you have addressed the relevant protocols by discussing your event with Ms Ann Knight, Manager, Protocol and Special Events, ext. 41757
  2. If your event is likely to attract a large audience, generate controversy or attract media attention, the Security Events Co-ordinator or Manager, Security must be consulted to ensure all safety and security matters are addressed (Security Communications Officer, ext. 49765).
  3. If you are organising a Free Public Lecture, you must also submit the Application for Promotional Support form to ensure your lecture is included on the Free Public Lecture bulletin that is distributed to the general public. A copy of this form can be requested from the Events Co-ordinator via email cfargher@unimelb.edu.au
  4. Be aware of your risk management responsibilities. Ensure your audience numbers do not exceed the venue's maximum capacity and you are aware of emergency exit routes for your venue.

Terms and Conditions

Event Co-ordinators must agree to the publishing policy before submitting and event. These terms and conditions apply to all events placed on this site:
  1. There are no charges associated with adding your event to the Events calendar.
  2. It is unlawful for a publisher to include discrimination based on sex, pregnancy, age, race, or political or religious beliefs unless covered by an exception or the event organiser has an exemption under relevant legislation. The University of Melbourne will not accept events listings that appear to be contrary to law.
  3. The terms and conditions indemnify The University of Melbourne against all claims, actions, suits, liabilities, costs and expenses.
  4. The University of Melbourne makes every effort to avoid errors in events listings. However, The University of Melbourne accepts no responsibility or liability for any errors and requires that publishers check their events listing for errors as soon as they are placed on the site(s). The administrator on the advice of the publisher (who can quote their reference number) may edit any errors.
  5. The University of Melbourne reserves the right to either reject or remove any event listing from its site(s) for any reason whatsoever. Reasons include offensive language, incorrect details and an inappropriate event association with the University of Melbourne.
  6. The University of Melbourne is not liable for any loss or damage incurred by an event organiser because of any failure or delay in listing an event.
